Community Group Booth Guidelines

We are interested in groups that are:

  • Non-profit or community-serving groups that are relevant to our specific market communities.
  • Groups with a local connection, or particular relevance, to the market’s neighborhood.
  • Groups with a significant focus on a topic related to local food and/or farms, or other aspects of our mission, vision, and values.

We also allow:

  • Political issue advocacy for issues that directly relate to Oregon and Washington farmers.
  • Religious organizations conducting education and outreach with non-religious messages.

Important information:

  • There is no fee for community group participation at our farmers markets.
  • Groups may be scheduled for one date per season at each market as space allows.
  • PFM operates rain or shine.
  • Failure to arrive on-time or leaving early may impact the group’s ability to participate in future markets.

Community groups who participate at the market are NOT ALLOWED to:

  • Sell items from the booth (i.e., raffle tickets) or fundraise (including donation jars and in-kind services).
  • Provide personal services, such as massage or acupuncture.
  • Give away items that directly impact the sales of market vendors.
  • Be political or religious in a partisan manner.
  • Leave the market early – groups must staff their booth for the entirety of market. Speak with market management prior to scheduled market day to make special arrangements.

AT MARKET GUIDELINES

  • Arrive no later than 30 minutes before the market opening and be set-up and ready to engage with shoppers by market opening bell.
  • Upon arrival, check in at the bright yellow information booth where they will be directed to your space and be given instructions for easy unloading.
  • PFM staff is available for help and questions. They can be identified by bright red shirts/jackets.
  • PFM will provide you with a 10 x 10 ft canopy, a 4 ft to 6 ft table, and two chairs. If you would like to use your own canopy and table, please let us know in advance.
  • Bring/provide your own tablecloth (required), banner, signage and other items to create an attractive display; handouts and pamphlets; friendly staff/volunteers appropriately dressed for the weather; and an activity to engage shoppers in conversation and contribute to the dynamic market environment.
  • Street parking is available around the markets. After setting up, please park three blocks from market site to allow space for market shoppers.

COMMUNITY BOOTH RATING

  • Onsite market staff will provide feedback to PFM’s Community Group coordinator regarding your group’s engagement with shoppers, taking into account shopper and vendor feedback.
  • Groups that provide poor or lack of engagement at the market may not be invited to return the following season.

CANCELLATIONS

  • If you are unable to attend market on your scheduled date at any of our markets, please let us know immediately.
  • If you must cancel with less than 24 hour notice, please contact the on-site marketing manager (listed on your confirmation email) to ensure communication is received.
  • Failure to communicate your inability to attend will impact your ability to participate in future markets.
